How Speedy Recovery collects, uses and looks after your personal data when you get in touch or ask us for a quote.
Who we are
We are Speedy Recovery, a 24/7 vehicle breakdown and recovery service based in Dundee, covering Angus and Tayside. When this policy says "we", "us" or "our", it means Speedy Recovery.
We are the "data controller" for the personal information described here, which means we decide how and why it is used. If you have any questions about your data, or want to make a request, you can reach us by email at info@thespeedyrecovery.com or by phone on 07490 644667. Our full registered details are on our contact page. [CONFIRM: registered company name and address to name as controller.]
What information we collect
We only collect what we need to help you. Depending on how you get in touch, that may include:
- Your name, so we know who we are speaking to.
- Your phone number and email address, so we can reply and keep you updated.
- Details of your vehicle — such as make, model and registration — so we send the right equipment.
- Your location or where the vehicle needs to go, so we can reach you and give an accurate quote.
- Anything else you choose to tell us in the contact form, a message or a phone call.
- Records and notes from phone calls, so we have an accurate account of the job.
- Basic, anonymised website analytics — but only if the owner has enabled them (see "Cookies and analytics" below).
We do not ask for more than we need, and we do not knowingly collect information from children.
Why we use your information
We use the information above to:
- Respond to your enquiry and answer your questions.
- Give you a quote and arrange or carry out a recovery or roadside service.
- Keep in touch with you about your job, including ETAs and updates.
- Keep proper records of the work we have done, including for accounting, insurance and any dispute.
- Improve our website and service quality where analytics are enabled.
Our lawful bases for using your data
Under UK GDPR we must have a valid legal reason ("lawful basis") to use your personal data. Depending on the situation, we rely on:
- Consent — for example, when you choose to send us a message or submit the contact form. You can withdraw consent at any time.
- Contract — where we need your details to provide the recovery or service you have asked us to carry out.
- Legitimate interests — to run and improve our business, keep accurate records, and communicate with you about your enquiry, in a way you would reasonably expect and that does not override your rights.
Who we share it with
We do not sell your personal data, and we only share it where it is genuinely needed to help you:
- With our drivers and team, so they can reach you and carry out the job.
- With your insurer or a third party, where you have asked us to deal with them on your behalf.
- With our contact-form provider, Formspree, which processes messages submitted through the form on our website.
- Where we are required to by law, or to establish, exercise or defend a legal claim.
Any provider that handles data for us is expected to keep it secure and use it only on our instructions. [CONFIRM: list any other tools or processors you use, such as an email host, accounting software or a call-handling service.]
How long we keep it
We keep your personal data only for as long as we need it — to complete your job, meet our legal and accounting obligations, and handle any query or dispute that may arise afterwards. When we no longer need it, we delete or securely destroy it. [CONFIRM retention period — for example, how many years you keep job records and financial documents.]
How we keep your data safe
We take reasonable steps to protect your information from loss, misuse or unauthorised access, and we limit who can see it to the people who need it to do their job. [CONFIRM: describe your key security measures, such as password-protected devices and secure storage.]
Your rights under UK GDPR
You have a number of rights over your personal data. You can ask us to:
- Access the personal data we hold about you.
- Rectify (correct) anything that is wrong or out of date.
- Erase your data where there is no good reason for us to keep it.
- Restrict or object to how we use it in certain circumstances.
- Withdraw consent at any time, where we relied on your consent.
To make a request, just email us at info@thespeedyrecovery.com and we will respond within the time limits set out in UK GDPR. There is normally no charge.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO), the UK's data-protection regulator, at ico.org.uk. We would appreciate the chance to put things right first, so please do get in touch with us before you do.
Cookies and analytics
Our website is kept deliberately simple. No tracking or analytics cookies run unless the owner has added an analytics ID. If and when analytics are switched on, we will update this policy to explain what is collected and how you can opt out. [CONFIRM: update this section if you enable analytics or add any cookies.]
